Summary

Manage the ECE front office operations. Provide general administrative support for the department. Process accounting, finance and payroll transactions for the Department. Plan and assist with departmental functions, such as banquets, events, retreats, networking events, info sessions, workshops, etc.

Responsibilities and Essential Duties

1. Manage the ECE front office operations
2. Independently handle in-person, telephone and email inquiries regarding departmental functions and events. Oversee departmental general email accounts.
3. Supervise student office staff.
4. Provide general administrative support to the department.
5. Conduct accounting tasks such as processing check requests, reallocating expenditures, handling payroll adjustments, managing reimbursements, overseeing travel and moving expense reports, generating finance reports, and maintaining petty cash.
6. Oversee departmental purchasing including managing Purchasing Card expenditures, submitting Purchase Requisitions, monitoring Purchase Orders, managing Blanket Purchase Orders, approving invoices, ordering departmental supplies; and ordering supplies for Senior Design and Enterprises.
7. Assist in planning and organizing departmental events, including meetings, retreats, receptions, banquets, alumni gatherings, information sessions, networking events, research seminars, workshops, and more.
8. Assist with course scheduling, room reservations, final exam planning, faculty course evaluations, and other related processes.
9. Manage building room access for students, faculty and staff. Oversee departmental conference rooms, secure meeting rooms for other events, and assist faculty and students in reserving classrooms.
10. Oversee the student hiring process, including collecting and managing applications for departmental positions, providing hiring guidance to faculty and staff, processing paper timesheets, approving electronic timesheets, sending student employment confirmations, and troubleshooting payroll issues.
11. Start Print Shop work orders for folders, brochures, greeting cards, business cards, name badges, room signs, letterhead, and envelopes. Also, assist with ordering departmental promotional items such as T-shirts and giveaways.
12. Assist with the faculty hiring process, including travel arrangements, interview scheduling, meal coordination, reimbursements, ensuring smooth transitions between back-to-back meetings, and helping with seminar setup.
13. Strive to improve and adjust departmental processes and procedures.
14. Apply safety-related knowledge, skills and practices to everyday work.

Required Education, Certifications, Licensures

• High School diploma or equivalent.

Required Experience

• Two years of office, clerical, administrative or retail experience
• Two years of experience using personal computers and basic software packages
• Experience using Microsoft and Google suite packages
• Customer service experience

Desirable Education and/or Experience

• Experience related to accounting, finance, payroll or cashiering
• Demonstrated success in, or potential future contributions to, working with persons with a wide variety of personal characteristics and viewpoints.
• Experience using advanced features of word processing and spreadsheet applications
• Experience creating forms and documents

Required Knowledge, Skills, and/or Abilities

• Excellent customer service skills.
• Excellent oral, written and interpersonal communications skills.
• Ability to perform basic math calculations.
• Ability to learn various departmental and university software.
• Ability to read, interpret and follow directions.

Required Training and Other Conditions of Employment

The general hours of operation are 8AM-5PM but can accommodate some variations in this schedule.
